POSITION TITLE:  Administrative Assistant EMPLOYMENT STATUS:  Full Time
REPORTS TO:  Chief Operating Officer FLSA STATUS:  Non Exempt
WORK SITE:  Alternatives Inc. Administrative Facility & Off-Sites HOURS:  Weekdays
WAGE:  Commensurate with experience and skill level  

 

JOB RESPONSIBILITIES:

  • Assist the administrative and management team in the performance of duties
  • Support volunteer functions
  • Provide special event planning assistance
  • Create and disseminate donor communications
  • Maintain and Expand agency's social media presence

 

ESSENTIAL FUNCTIONS:

  • Assist administrative and management team
  • Proficient in Microsoft Software programs
  • Assist with special events coordination and activities
  • Maintain program service records
  • Enter data and prepare reports
  • Answer telephones
  • Prepare and mail correspondence
  • Written and oral communication with donors and agency supporters
  • Identify and requisition items for the administrative office
  • Maintain the confidentiality of AI records and client files
  • Routine filing
  • Work with volunteers
  • Work with the general public
  • Market special events


KNOWLEDGE, SKILLS, AND ABILITIES:

  • Knowledge of general office procedures and practices
  • Knowledge of English grammar and spelling
  • Skill in computer operation
  • Skill in interpersonal communication
  • Skill in telephone procedures
  • Skill in operating general office equipment
  • Ability to carry out instructions in written, oral, or picture form
  • Ability to exercise independent judgment

REPORTS TO:  Residential Services Manager FLSA STATUS:  Non Exempt
WORK SITE:  Residential Facility HOURS:  On-call
WAGE:  Commensurate with experience and skill level  

 

JOB RESPONSIBILITIES:

  • Maintain the operations of an emergency shelter program
  • Respond to crisis telephone calls

 

ESSENTIAL FUNCTIONS:

  • Provide supportive services for adults and children
  • Conduct program intakes
  • Provide referrals for adults and families
  • Arrange emergency and essential transportation for program participants
  • Ensure the safety of program participants
  • Maintain the confidentiality of clients
  • Maintain documentation of necessary and required information
  • Respond to crisis situations
  • Work in collaboration with other Alternatives Inc. staff
  • Attend staff meetings and in-service training
  • Other duties as assigned


KNOWLEDGE, SKILLS, AND ABILITIES:

  • Knowledge of family violence, homelessness, sexual assault, and child abuse
  • Knowledge of crisis intervention techniques
  • Skills in written documentation
  • Skills in interpersonal communication
  • Skills in conflict resolution
  • Ability to carry out instructions in written, oral or picture form
  • Ability to exercise independent judgment

Training will be provided in the Family Development Case Management system.  Written and oral communication skills are critical requirements.
